Privacy Policy
This notice explains what personal data AGE OF AIMPIRES may process, why it is processed, who may receive it, and the rights available to you under EU data-protection law.
1. Who Is Responsible For Your Data
The data controller for this website is George Paris Christoforakis, publishing as AGE OF AIMPIRES, based in Nicosia, Cyprus.
Privacy contact: [email protected]
2. What Data We Process
AGE OF AIMPIRES is designed to collect as little personal data as reasonably possible.
When You Contact Us
If you contact us by email or through the contact form, we process the information you provide, including your email address and message and, if you choose to provide it, your phone or WhatsApp number.
Entry Notifications
If you subscribe to entry notifications, we process your name and email address only to send notifications when a new AGE OF AIMPIRES entry is out. Each notification includes a link to the entry on the site.
Technical And Security Data
When you visit the site, our hosting and security providers may process technical information needed to deliver and protect the website. This can include IP address, request and device information, timestamps, and security-related logs.
Comment Forms
The comment boxes currently shown on some entry pages are preview-only and do not submit comments or personal data to a server. If public comment submission is enabled later, this policy will be updated before personal data is collected through that feature.
The Archivist
If you use The Archivist through ChatGPT, the service receives the question or tool request needed to search or read the published AGE OF AIMPIRES archive. Depending on what you include in your request, that content may contain personal data.
The Archivist is designed to use only the information needed for the specific archive request. It does not intentionally send your complete ChatGPT conversation history to Google Gemini. Archive-search requests are processed as self-contained questions, while published-page reading retrieves content directly from AGE OF AIMPIRES.
3. Why We Process Data
- To respond to messages and enquiries. The legal basis is our legitimate interest in communicating with readers and responding to requests. Where a message relates to steps you ask us to take before entering into an agreement, processing may also be necessary for those pre-contractual steps.
- To send entry notifications you request. The legal basis is your consent, given when you submit the subscription form. You can withdraw consent at any time using the unsubscribe link in a notification or by emailing [email protected].
- To operate, secure and troubleshoot the website. The legal basis is our legitimate interest in maintaining a reliable and secure publication.
- To comply with legal obligations or establish, exercise or defend legal claims where required.
Where we rely on consent, you may withdraw that consent at any time without affecting processing that was lawful before withdrawal.
4. Cookies And Analytics
As of the effective date above, AGE OF AIMPIRES does not use non-essential analytics, advertising, or behavioural-tracking cookies in its own site code.
Our hosting or security infrastructure may use strictly necessary technologies to deliver or protect the service. These do not require consent where they are genuinely necessary for the service requested.
If we introduce analytics, advertising, social-tracking, or other non-essential cookies or similar technologies, they will not be activated before the required consent is obtained, and this policy will be updated.
5. Who Receives Personal Data
We do not sell or rent personal data.
The website is hosted and protected using Cloudflare, and contact-form messages are transmitted using Resend as our email-delivery provider. Resend also stores entry-notification subscribers and delivers those notifications.
When you use The Archivist through ChatGPT, OpenAI provides the ChatGPT interface and may process your interaction under its own privacy terms. The Archivist service itself is hosted on Cloudflare. Archive-search questions are sent to Google Gemini and its File Search service so that relevant published AGE OF AIMPIRES material can be retrieved and returned.
These providers may process information only to the extent required to provide their respective services. We may also disclose information where required by law, court order, or a competent authority.
6. International Transfers
Some service providers may process data outside Cyprus or the European Economic Area. Where the GDPR requires safeguards for such transfers, we rely on an applicable adequacy decision or other lawful safeguards such as approved standard contractual clauses.
7. How Long We Keep Data
- Contact messages: kept only as long as reasonably necessary to respond, maintain appropriate correspondence records, resolve disputes, or comply with legal obligations. When they are no longer needed, they are deleted or anonymised where appropriate.
- Entry-notification subscriptions: retained while you subscribe. After you unsubscribe, your name is removed when no longer needed; your email address may be retained as an unsubscribe record to prevent further notifications.
- Technical and security logs: retained only for the period reasonably necessary for security, abuse prevention, troubleshooting, and service operation, including the retention periods applied by our hosting and security providers.
- The Archivist: the Archivist application does not intentionally store archive questions, answers, credentials, or user identities. Service providers involved in delivering the feature may process or retain technical or request data according to their own applicable terms and privacy practices.
Data may be deleted earlier when it is no longer needed.
8. Your Rights
Subject to the conditions in the GDPR, you may have the right to:
- access your personal data;
- correct inaccurate or incomplete data;
- request erasure of your data;
- request restriction of processing;
- object to processing based on legitimate interests;
- receive certain data in a portable format;
- withdraw consent where processing is based on consent; and
- lodge a complaint with a data-protection supervisory authority.
To exercise your rights, email [email protected]. We may need to verify your identity before acting on a request.
9. Complaints
If you believe your personal data has been handled unlawfully, you may lodge a complaint with the Office of the Commissioner for Personal Data Protection of the Republic of Cyprus. You may also have the right to complain to another competent EU/EEA supervisory authority depending on your circumstances.
10. Third-Party Links
The site contains links to external websites and services. Once you follow an external link, that third party controls its own data practices. We encourage you to review the privacy information provided by that service.
11. Children
AGE OF AIMPIRES is a general-audience publication and is not designed to collect personal data from children. If you believe a child has provided personal data to us, contact us so we can review and, where appropriate, delete it.
12. Changes To This Policy
We may update this Privacy Policy when the site, our data practices, or applicable requirements change. The effective date shown above will be updated when material changes are made.
